Safeguarding Policy

How Afiléon Motorsport protects children, young people and others involved with our family-run motorsport activities.

Last reviewed: 1 October 2026.

Family involvement. Afiléon Motorsport is a family-run grassroots motorsport organisation. Children within the family, currently ranging from infancy to primary-school age, may regularly attend race meetings, track days and team activities. We therefore recognise that safeguarding children is part of our day-to-day responsibility even though we do not currently operate a dedicated youth programme.

1. Our commitment

Afiléon Motorsport is committed to providing a safe, respectful and welcoming environment. The welfare of children is a primary consideration, and safeguarding is the responsibility of everyone representing or working with the organisation. We will take reasonable and proportionate steps to prevent harm, respond to concerns and support safe participation.

2. Who this policy applies to

This policy applies to Afiléon Motorsport team members, staff, volunteers, contractors, partners and others acting on our behalf. It covers children within the family team as well as any other children or young people who may participate in, visit or interact with Afiléon Motorsport activities.

3. Children at motorsport events

Children may be present with the Afiléon family at race meetings, track days, exhibitions and other motorsport activities. Their involvement must be age-appropriate and appropriately supervised. Children must not be placed in hazardous or restricted areas, operate vehicles or equipment, or undertake tasks that are unsuitable for their age or contrary to circuit, organiser, insurance or governing-body rules.

4. Standards of behaviour

Everyone representing Afiléon Motorsport must treat children and adults with dignity and respect; maintain appropriate boundaries; avoid bullying, harassment, discrimination, intimidation and inappropriate language or conduct; follow venue and event rules; and report concerns promptly. Adults should avoid unnecessary one-to-one situations with children who are not their own and should use open, observable environments wherever practical.

5. Volunteers, staff and safer recruitment

Where a person is recruited into a role involving responsibility for or regular contact with children, Afiléon Motorsport will use proportionate safer-recruitment measures. These may include identity checks, references, self-declarations and DBS or other suitability checks where the role is eligible or constitutes regulated activity. The presence of children alone does not make every team role eligible for a DBS check.

6. External children and young people

If Afiléon Motorsport offers an activity to an under-18 participant outside the immediate family, appropriate parent or guardian consent and supervision arrangements will be required. Any applicable age, licence, insurance, venue and governing-body conditions must also be satisfied. We will explain who is responsible for the young person and how concerns can be raised.

7. Photography, video and online content

Motorsport events are frequently photographed and filmed. Afiléon Motorsport will use images of children responsibly and will obtain appropriate parent or guardian permission where specific consent is required for planned or individualised content. Personal information about children will not be published unnecessarily.

8. Reporting a concern

Anyone who witnesses, experiences or becomes aware of a safeguarding concern connected with Afiléon Motorsport should report it as soon as possible.

Concerns will be taken seriously and handled sensitively. We will record and share information only where appropriate and necessary. Afiléon Motorsport will not attempt to investigate suspected criminal behaviour or serious safeguarding allegations itself. Concerns may be referred to the event organiser, governing body, local safeguarding services or police as appropriate.

If a child or other person is in immediate danger, call 999.

9. Third-party events

At events organised by another body, Afiléon Motorsport will also follow that organiser's safeguarding procedures and the rules of the circuit or governing body. Where another organisation has primary safeguarding responsibility, concerns may be reported to its designated safeguarding officer as well as through Afiléon's own reporting route.

10. Motorsport UK

Where Afiléon Motorsport participates in Motorsport UK-governed activity, we will respect the applicable safeguarding requirements and Race With Respect standards. Safeguarding concerns relating to such activity may also be raised through Motorsport UK's safeguarding channels.

11. Review

This policy will be reviewed periodically and whenever there is a material change to Afiléon Motorsport's activities, family participation, recruitment or work with children and young people.
